New Owner Onboarding Workflow + Checklist

  • Create PMA, W9 and Flood Document and send to Abel for Docusign Circulation
  • Collect HOA docs and Bylaws from Owner (If Applicable)
  • Add Property to Vacancy Spreadsheet
  • Instruct Abel to send Next Steps Email to owner(s) and CC Stephanie/Alysia
  • Meet with Adrienne and Walt at property to advise owners on Rent-Ready Make-Ready
  • Answer any questions owners have regarding PMA, POI, Owner Portal, RENT READY MAKE-READY for the 2nd time, etc... using screen shot references to documentation when possible.
  • Send VACATING - NEXT STEPS for OWNER email + attach FAQ for NEW LANDLORD
  • Send MAKE-READY Final Template to Owner and have them submit funds
  • Place combo lockbox on site for owner via Sign Otter
  • Instruct Maintenance Coordinator to connect utilities if necessary
  • Assign WO to Walt for Rent Ready Make-ready once approved
  • Assign WO to Billy Steve for Chastity REKEY (the 1st day of TOP Posession)
  • Assign WO to Arellis for make-ready clean (collaborate with Walt on timing
  • Schedule TOP sign and SUPRA lockbox on site and update Vacancy Spreadsheet
  • TEXT or EMAIL Abel a photo of SUPRA serial number for property, and SYNC SUPRA (using Sign Otter)
  • Instruct Abel to Schedule PHOTOSHOOT - only list properties M-TH
  • Email Adrienne marketing verbiage, comps and list price for APPROVAL (See Email Template)
  • Email owner with confirmed rental rate pricing
  • Abel list property on MLS / AppFolio
  • Email owner 'PROPERTY LISTED FOR RENT'
  • Collect showing feedback every Monday from Abel's showing report and Update Owner on approximately the 14th, 21st and 28th day of listing, as needed.
  • Notify Owner of Approved Applicants and upload lease and share it to Owner Portal
  • Notify Owner of What to Expect from Your First Owner Payout

Additional Steps and Items for TENANT-OCCUPIED properties, carrying over to TOP:
Collect the following:
    • Lease and any supporting addendums (inventory and condition form)
    • Security Deposit and Pet Deposit (from owner or previous property manager)
    • Tenant Contact Info

  1. Assign Tenant Onboarding to APMHELP - DO NOT CHARGE LEASE FEE - SEND TENANT LINK TO SET UP PORTAL
  2. Ensure NSF and Late fees are updated according to the inherited lease and NOT TOP terms
  3. Send Change of MGMT Notice via email and USPS (not Certified)
  4. Send INTRODUCING TOP Notice via email and USPS (not Certified)
  5. Walt and TOP Rep perform the TX Property Code Walk-Through
  6. Schedule with TENANT and Chastity the Rekey

Collect the following:
    • Lease and any supporting addendums (inventory and condition form)
    • Security Deposit and Pet Deposit (from owner or previous property manager)
    • Tenant Contact Info
