Pre-Leasing Checklist (For LC2)


Goal:

Every property listed for lease on the MLS should have a Lease Ready File prepared in advance so that when an application is approved, the lease package can be sent within minutes.

Step 1: When a Property Goes Active for Lease

LC2 prepares the Lease Ready File in ZipForms.

Documents started or completed:


Lease Preparation

  • Residential Lease started in ZipForms
  • Property address verified
  • Owner name verified
  • Flood Addendum Uploaded
  • HOA Verified 
  • HOA Bylaws Uploaded


Addenda Prepared

  • Appliance Addendum completed
  • Pet Addendum template ready (if pets allowed)
  • Pool/SPA Addendum (if applicable)

Step 2: Appliance Verification (Critical Step)

Before the property receives applications, LC2 confirms appliances using:


  1. Listing photos
  2. Prior lease
  3. MLS listing
  4. Property notes or previous inspection report in AppFolio


LC2 then completes the Appliance Addendum identifying:


  • Refrigerator
  • Range / Oven
  • Dishwasher
  • Microwave
  • Washer
  • Dryer
  • Garbage Disposal
  • Any other included appliance


If anything is unclear → ask LC1, Field Tech, MC or make-ready vendor - escalate to Jake if none of these other team members can confirm, but must be done while property is still being marketed. Do not wait to do this when a lease is about to be signed.


Step 3: Property Information Check

Confirm:


  • Utilities responsibility
  • HOA information / Condo Association Requirements (elevator usage, Approved movers, Etc)
  • Parking information
  • Yard maintenance responsibility
  • Pool maintenance responsibility

Step 4: When Application Is Approved

Once LC2 approves an applicant, LC2 needs to:


  1. Insert tenant/occupant names
  2. Insert lease term dates
  3. Insert rent/deposit
  4. Animal Addendum policy confirmed / Removed
  5. Military Addendum confirmed
  6. Send for final review 
  7. Circulate for signature

The lease should go out within 30 minutes.

Simple Rule for Leasing at Treaty Oak

If a property is on the market, the lease file should already be 90% built.

No scrambling.

No waiting on appliance information.

No delays when tenants are ready to sign.
