VA Pay & Confidentiality Policy
Please read carefully. This is part of your contract.
Please note that this policy only applies to virtual team members and not Austin-based employees.
1. Pay Schedule & Method
- You will be paid twice per month via wire transfer. The wire transfer will be initiated on the 1st Monday and 3rd Monday of each month. If either date falls on a bank holiday, payment will be initiated on the next business day.
- Your payments cover your approved hours or deliverables for the prior month.
- You must provide accurate banking / wire info (routing, SWIFT, account, etc.) and update it if anything changes.
- If we make an error (underpay or overpay), notify management within 7 days. Corrections will be made in the next pay cycle (or sooner where feasible).
- All team members are on a salary basis unless their contract explicitly states their role is hourly.
- For example: if you contract states "Monthly Compensation: $1000 USD/mo", then you are on salary and will receive $1000 USD/mo. Salaries are flat rates and we do not adjust rates up or down depending on days/hours worked.
- For example: if October 2025 has 20 working days, and November has 22 working days, and your contract states $1000/mo, you will receive $1000 for October and $1000 for November. Over the course of a year, your working days will average out.
- 13th Month Pay: Although TOPM is not a Philippine based company, we do honor 13th-month pay for team members based in the Philippines. This is calculated as 1/12 of the total basic salary earned during the calendar year. This will be included in your December payroll and is based only on base salary.
- For those employees who started mid-year, your 13th-month pay is prorated based on the months you worked within the calendar year:
- September start: 4 months ÷ 12 = 33.33% of one month’s salary
- October start: 3 months ÷ 12 = 25% of one month’s salary

2. Raises, Adjustments & Variability
- Pay rates may be adjusted (up or down) based on performance, role changes, or business conditions.
- All rate changes are confidential and will be communicated directly to you.
- You should not assume entitlement to raise based solely on tenure.
3. Disputes & Support
- If you believe you’ve been underpaid or missed a payment, submit a Pay Dispute Request within 10 days of payday.
- Management will respond within 5 business days.
- During any dispute, compensation details remain confidential.
4. Legal & Compliance Notes
- You are responsible for any taxes, fees, or bank charges in your country, unless otherwise agreed.
- This policy is part of your engagement terms. Non-compliance can result in termination.
- We reserve the right to amend this policy, with notice, as our company evolves.
