Vacation Autoresponder
Because the Weekend Operations Coordinator does not work on Tuesdays/Wednesdays, we need outside parties to be sure not to expect a response on these days.
Each Monday, just before signing off, the Weekend Ops Coordinator should set up the Vacation Autoresponder on their Gmail:
Subject: Out of Office — Paulo Dela Pena
Hello,
Thank you for your message. My regular work schedule is Thursday through Monday, 8:00 am – 5:00 pm. I am out of office on Tuesday and Wednesday and will not be monitoring email on those days.
If your message is about a work order or make-ready request, please email fred@treatyoakproperties.com for fastest service.
If your inquiry is about anything else (leasing, general questions, owner matters, etc.), please email info@treatyoakproperties.com and a team member will respond at the next available opportunity.
I will review all other messages upon my return on Thursday morning.
On Thursday, when they return, they should turn off the autoresponder.
Vacation Autoresponder on their OpenPhone
We also need to set up the vacation autoresponder on OpenPhone, so that if anyone texts us during those off hours, they're aware of the normal times.
How to Set it Up in OpenPhone
- Open OpenPhone app (web or mobile).
- Go to Settings → Phone Numbers → [Select your number].
- Scroll down to “Business Hours” → Enable Business hours
Schedule: Select "Custom"
Active hours: (Monday/Thursday/Friday/Saturday 8:00 AM-5:00 PM) (Tuesday - Wednesday: None)
- Scroll down to “Auto-replies”.
Under After Business hours:
- Click Set Incoming message auto-reply: Paste the message above into the text box. Click Save
- Click Set Incoming missed call (no voicemail) auto-reply: Paste the message above into the text box. Click Save
- Click Set Incoming missed call (w/ voicemail) auto-reply: Paste the message above into the text box. Click Save
