Precheck Workflow
When conducting a precheck:
- First remove the keys from both the supra and the lockbox and consolidate them.
- Then go through the property checking for any items that might need to put in a work order (checking all functional items, lights, fans, appliances, faucets, toilets, etc and inspecting the condition on the interior and exterior of the home)
- Then compose an email to the MC with images and a description on items found that need a work order.
- After that if the house needs to be swept or there are any small maintenance items FT can address, then FT will address those.
- FT will then go through the house and take photos of the entire property interior and exterior (in accordance to the requirements in Basecamp) and upload those photos to a google drive folder for that property with the name and date the precheck was conducted.
- If during taking those photos FT finds any additional maintenance items, FT will add those to the email to the MC and send it.
- Then check the mailbox. If it is onsite, remove the mail and either return to sender or if its owners mail reach out to the owner to have it provided to them.
- If the mailboxes are a cluster, check the location and box number in AppFolio. If it is not located there, check the PMA. If it is not located there and there is a key on site, use the key to locate the correct mailbox through trial and error and record findings in AppFolio.
- Then return the consolidated keys to the combination lockbox so the tenant will have access to all keys when arriving at the home. If the combination or location of the lockbox is incorrect on the vacancy sheet, update accordingly.
