Creating a Multiple Property Addendum and Adding a New Property to an Existing Owner's Account

Follow this process if you need to add a new property to an existing owner's account.

Checking PMA + Creating a Multiple Property Addendum

First, confirm they already have a signed PMA by searching the 'Files' section of the owner's profile in Appfolio. You also should check for a 'Multiple Property Addendum'.

Once you locate the PMA, confirm the new property isn't already listed on the PMA or the Multiple Property Addendum.




Once you confirm this property isn't already on the existing PMA / MPA, then you can proceed to creating an MPA.


Creating a Multiple Property Addendum


Log in to ZipForm and create a new transaction for this property.

Find and create the 'Multiple Property Addendum' document.

Fill it out as shown below:

  • Date: Enter today's date
  • Address:
    • Enter the property address including Unit #.
    • Search MLS for the property and copy the 'Legal Description' from MLS into the section "legally described as: ".
    • County: Enter the county the property is in.
    • non-real-property items: Enter "Refrigerator". If this is a duplex or a multi-unit property, enter "Refrigerators" (plural), as there will be one refrigerator for each unit.
  • If we are adding multiple properties, then please be sure to add all of them. This document allows up to 4 properties to be added. If you need to add more than 4, then just create a second MPA.
  • Owner: Make sure this is the owner's legal name
  • Broker: Treaty Oak Properties
  • By: Adrienne Laosa

Below is an example of how the completed addendum should look.


Once you've generated the Multiple Property Addendum, send it to the client and Adrienne via DocuSign for their signatures. You may use the template below to notify the client


Recipients: Client, Adrienne

Subject: Multiple Property Addendum - {{PROPERTY ADDRESS}}

Body:

Hello {CLIENT FIRST NAME},

I'm sending you a "Multiple Property Addendum" to sign via DocuSign. This addendum will add your new property to the existing Property Management Agreement that we have on file.

Once the document is signed, drop it into the 'Files' section of the Owner's profile in Appfolio.

Then, proceed to add the property into Appfolio. You do NOT need to add the owner into Appfolio, you only need to enter the property under the owner's existing profile in Appfolio.
