Warranted Appliance Work Flow
Appliance Repair Workflow – Microwave, Oven, or Dishwasher
(Always double-check the appliance addendum for ownership responsibility on microwave)
Step 1: Review Appliance History in AppFolio
Before assigning the work order, check for:
- Previous repair history or known issues
- Which vendor handled the last service
- Any warranty info (check notes or uploaded documents)
- Notes indicating the appliance is near end-of-life or replacement was previously recommended
Step 2: Gather Appliance Information
When dispatching appliance vendor for repair, be sure to request the following details:
- Type of appliance (microwave, oven, or dishwasher)
- Brand name
- Model number
- Serial number (if available)
- Year of installation or manufacture (usually found on a label inside the appliance door or on the back)
Step 3: Evaluate Next Steps
As a general rule, attempt repair at least once before recommending replacement.
- If the appliance is 8–10+ years old or has had frequent recent repairs, evaluate if replacement is more cost-effective
Step 4: Provide Internal Recommendation
Based on the appliance’s age, repair history, vendor estimate/ recommendation, and cost comparison:
- Provide your recommendation to the property manager of portfolio on whether to proceed with repair or replacement
- Note any urgency, safety concerns, or warranty considerations
- Include a brief summary of the work order for clear context
Step 5: Approval, Communication & Documentation
- Based on feedback from the property manager, proceed with either the repair or replacement
- Document the decision and any approvals clearly in the work order notes
