Late Fee Waiver - AppFolio
- Receive Waiver Request:
- Tenant must request a waiver via email, phone, or in writing.
- Document the reason for the waiver request in AppFolio under the tenant's communication log.
- Access the Tenant Ledger:
- Log in to AppFolio and navigate to the Tenants tab.
- Search for the tenant's name or unit number.
- Open the tenant's account and select Ledger to review payment history.
- Review Waiver History:
- Look for any prior adjustments or entries indicating waived late fees.
- Confirm that no late fees have been waived previously.
- Approve or Deny Waiver:
- If no prior waivers exist:
- Approve the waiver.
- Document the decision in the Notes section of AppFolio.
- Send an Email to Anna’s Team:
- Compose an email with the following details:
- Tenant's name and unit number.
- The amount of the late fee to be waived.
- A note indicating it is a one-time courtesy waiver.
- Send the email to Anna's Team for processing.
- If prior waivers exist:
- Deny the waiver.
- Notify the tenant of the decision and provide the reason.
- Communicate with Tenant:
- Send a confirmation email or letter to the tenant, outlining the decision.
- If approved, include the details of the one-time courtesy waiver and a reminder that future late fees will not be waived.
- Update Records:
- Add a note in the tenant’s AppFolio account summarizing the waiver.
- Ensure proper adjustments are reflected in the ledger.
