As soon as possible, once Approval Application Email is received, Send tenants utility information email to set up by lease commencement date
Send tenants walkthrough email. Walkthrough should be scheduled within the 1st week of occupancy. Once tenants confirm WT send Adrienne calendar invite
Go onto Vacancies spreadsheet, change status to PENDING & WT information (when is it scheduled or T)
ONCE LEASE IS SIGNED - not before - email owners and notify them that the property has been leased. Use email template.
Walk property at least 1 week prior to lease commencement date. During this time test all plumbing, lights, doors & appliances. If items need to be addressed enter WO for Walt or necessary vendor to repair/ access prior to the tenant's move-in date or perform a touch up clean if needed.
Immediately following the pre-move-in walkthrough, schedule Happy Moving Day email to be sent at 12AM on the lease commencement date. Ensure all deposits & prorated rent have been submitted prior to sending key access.
Ask tenants if they have any questions regarding the property. This is helpful to gauge how the tenants' experience has been so far.
Inform tenants work orders are submitted through the tenant portal, tenants will be contacted directly by the vendor to coordinate access into property. We encourage tenants to wait ~2 weeks before submitting work order (unless it's a majorm, i.e., plumbing/HVAC), as items will come up as they move in. We request they submit 1 work order for all items.
Show tenants the water shut off valve is location, irrigation system, breaker box, and any specific property information.
Remind tenants to submit the move-in inventory condition form within 3 days of moving in. Tenants will need to email us the signed form.
Discuss HOA FAQ's: yard maintenance, fences, trash containers, and parking.
Inform tenants mailbox location and/or if they need to go get a mailbox key from the local zoned USPS.
If the walkthrough & move-in went well, ask for a move-in review via Yelp/Google! Email Move In Review.
