Creating showing reports & showing feedback from the agents
Here’s a detailed process for creating showing reports from Supra and sending messages to the agents to get the property feedback. Below is the process in detail.
Note: Send the text to the agents on Monday, create the feedback report on Tuesday and send it to Stephanie
Process for Creating Showing Reports and Collecting Feedback
1. Log In to Supra & navigate to the "Reports tab" and click 'Create showing report'
2. Generate the Showing Report:
- Select the specific MLS # of the property for which you want to generate the report.
- Set the date range to cover the desired period (e.g., the past week).
- Leave the rest of the settings as is
- Click 'Create Report' to display all showing activity, including agent names, dates, numbers, emails, and times.
3. Download the Report:
- Download the report by clicking 'Print Report' in the pdf format.
- Save the file in an organized folder on your computer or cloud storage for easy access.
- If a property's in Stephanie's portfolio, the report goes to her. If it's part of Treaty Oak's portfolio, the report goes to Alysia.
- Draft an email and upload all the showing reports. In the body of the email, be sure to reference each portfolio separately.
- The below screenshot shows that the property belongs to Treaty Oak's portfolio, and its report will be sent to Alysia.
4. Sending text message for the feedback:
- Open the newly created report created by MLS # to start sending the messages to the agent.
- Use the below template to send the message through Google Voice.
Hi [Agent's Name],
This is Abel with Treaty Oak Property Management. I noticed you recently showed [Property Address] to your client. Are your clients interested in leasing the property? I’d love to hear your feedback on the property.

5. Log the Responses:
- Document any feedback received by using a Google form. Add the property address, agent name, and feedback and click the submit button.
- The feedback will be recorded in a spreadsheet.
- After recording all the feedback messages in a spreadsheet. Download the spreadsheet as pdf and email it to Stephanie.

6. Follow Up if Needed:
If agents do not respond, send a polite follow-up message the next day.
