Workflow New "In-Bound" Potential Clients

  1. Initial Contact:
    • When a potential client calls to inquire about our services, immediately reach out to thank them for contacting us and gather the following details:
  1. Collect Client Information:
    • Name:
    • Phone Number:
    • Email Address:
    • Referred By:
    • Property Address:
    • Reason for Services: (I.E., moving out of state, converting homestead to rental, etc.)
  1. Determine the Service Requirement:
    • Do they require property management services and leasing?
    • If only leasing is needed:
      • If they are self-managing, direct them to the Landlord Resources section on our website.
      • If the client needs leasing services, determine if the agent offers leasing; if not, redirect them to Kelli Lopez for a la carte leasing options (note: if the agent is with Berbas Group, Rachel will handle leasing). Verify with the agent before referring outside the brokerage.
      • If they change their mind or want more information, send our pricing for future consideration.
  1. Email Adrienne (New Client Info):
    • Email Adrienne with the client details in the following format:
      • Subject Line: "NEW OWNER - [Address]"
    • If Adrienne is unavailable, send the following introduction email:

Here are our fees:
  • 8% Monthly Management Fees
  • 100% lease up fee (aka first month's rent leasing commission)
  • $200 Lease Renewals

Fees in the industry are generally 80% to 100% for lease-up and 6-9% for monthly, with anywhere from $100-$500/month for renewals. Lots of PMs charge a markup on maintenance and monetize in other ways, which we don’t do. (You can find low volume agents who provide PM services that charge less than this, but they come and go, so I don’t recommend chasing the lowest fees.) Our property management agreement is month to month (we don’t tie you into long agreements), and we don’t require that you use us for a sale or charge you anything in the event of a sale.
